ATS Resume Format: The Complete Guide

An ATS (Applicant Tracking System) is software that scans and filters resumes before a human ever sees them. If your formatting confuses it, a qualified application can get rejected automatically — regardless of how good your experience is.

What an ATS actually does

When you submit a resume through an online application system, it's rarely read directly by a person first. The ATS parses your document, extracts your information into structured fields (name, experience, education, skills), and often ranks or filters candidates based on keyword matches to the job description.

What makes a resume ATS-friendly

• Single-column layout. Multi-column and sidebar designs can be read out of order, or skipped entirely, by many ATS parsers.
• Standard section headings. Use conventional labels like "Work Experience" and "Education" rather than creative alternatives.
• Standard fonts. Stick to common, clearly-rendered fonts rather than decorative ones.
• No text inside images or graphics. Any text embedded in a logo, icon, or graphic element is usually invisible to an ATS.
• PDF or Word format — check the specific application portal's accepted file types, as some prefer one over the other.

What to avoid

• Tables used for layout (as opposed to simple content tables)
• Text boxes and floating elements
• Headers/footers containing important information — some parsers skip these entirely
• Unusual bullet characters or symbols

Keywords still matter

Beyond formatting, many ATS platforms rank resumes by how closely they match keywords in the job description. Read the posting carefully and reflect the same terminology the employer uses — for skills, job titles, and tools — as long as it's accurate to your actual experience.

When ATS formatting matters less

If you're sending your resume directly to a person — networking, a small company, a creative role where visual design is part of the evaluation — a more visually distinctive template can work in your favor. ATS-safe formatting matters most specifically for online application portals (Workday, Greenhouse, Taleo, and similar systems).
